Redaction Services
Redaction is critical to organisations that want to make sure that confidential or sensitive information is obscured so that it cannot be seen by unauthorised users.
Organisations nowadays must regularly share information with external bodies, or individuals via FOI requests. All the while, they must protect the organisation’s data and respect regulations such as GDPR.
If the volume of documentation needing redaction is significant, the workload can exceed your internal capabilities. If you need help with this, we are ready to assist.
Trusting such a sensitive process to a third-party can be perturbing, which is why you should not trust just anybody to handle your document redactions. At Millennium Software, we:
- Are a secure and confidential GDPR-Compliant facility
- Have fully-screened employees
- Completely sanitise your documents by eliminating all metadata
- Utilise advanced software and technologies in our process
COMMON TYPES OF REDACTED INFORMATION
- Drivers’ license numbers
- Birth dates
- PPS numbers
- Credit card numbers
- Names of minors
- Law enforcement names
- Defendant names
- Maiden names
THE PROCESS
We work with most document types, for example:
- Microsoft Word documents
- PDF Documents
- Outlook emails and attachments
- Excel spreadsheets
- Image formats such as TIFF, GIF and JPEG
- Web pages
- Scanned documents
- Any document that can be printed
All documents are first rendered as PDFs, to ensure no changes are made inadvertently to the data. Then our team work on your documents, and “blank out” the sensitive data according to your rules. A review process ensures the quality of the work.
Two sets for file are returned to you:
- A set of Review documents. The sensitive data is covered by a shaded but transparent box so your team can check what is being redacted. For example:
Ordinary non-sensitive date, available to everyone, followed by some sensitive data, which we would like to protect….
- A set of Redacted documents. Here the sensitive data is rendered invisible. This is the documentation you will share with others. For example:
Ordinary non-sensitive date, available to everyone, followed by some sensitive data, which we would like to protect….
We can if required also label the redaction with the authority for the redaction, such as “GDPR”, “Data Protection Act”, or whatever regulation(s) your organisation must respect.
Your team can then inspect the documents to ensure all the sensitive data is obscured, and you can release the Redacted documents to the 3rd party.
